Hiring Organisation: Elso Holdings (Pty) Ltd

Job Summary:

The incumbent will be responsible for the overall raw material and packaging buying for Elso Holdings (Pty) Ltd.

Key Performance Areas:

• Ensure that the correct quantity of raw materials and packaging is procured and delivered on time as per production needs for the Soap Production, Paper Production and NMI sections.
• Complete the procurement plan by checking low stock levels and the production plans, establishing priorities, checking pricing, confirming delivery times, reporting the process flow of deliveries or problems to the production team and resolving problems
• Based on the production plan, work out raw material requirements and plan purchases to ensure all stock arrives in time for production.
• Arrange with the relevant transport companies that goods get delivered in time from South Africa.
• Maintain adequate stock levels relating to pre-determined Min/Max stock levels, drawing regular lists and submitting feedback to relevant parties to identify in advance possible low stock items that need to be ordered.
• Monitor slow moving stock on a weekly basis and distribute this information to the sales team.
• Update stock holding templates for the management team to monitor stock levels used for production planning purposes.
• Update weekly price and margin trackers.
• Identify and communicate procurement lead times to the relevant parties.
• Plan for incoming deliveries, and communicate to relevant parties in terms of delivery schedules and/or use of the company vehicles to transport goods timeously to the correct destination.
• Maintain a database of suppliers and their pricing.
• Constantly update one’s knowledge and insight into the quality, quantity, packaging and dispatch processes of products used by the company in order to ensure that there is a clear efficiency agenda in terms of cost and quality containment.
• Negotiate for the best possible prices with suppliers.
• Maintain supplier relationships.
• Monitor the overall supply chain management and process flow.
• Upkeep market knowledge in terms of relevant commodity trends and pricing controls in order to advise the management team of issues pertaining to strategic supply issues, future price trends and new activities in order to develop strategies to ensure the company is best placed to maximise these trends and minimise risks.
• Provide timeous information regarding possible future supply shortages and proactively suggest contingency plans.
• Provide information for new product development regarding the sourcing of new products, raw materials, packaging, branding, etc and assist in analysing samples with regard to quality, price, availability, etc. in order to cost effectively grow the business.
• Assist with developing a working capital procurement plan for the company budget that minimises cost while ensuring effective cash flow, and keeping spending to within budget constraints.
• Contribute towards the strategic procurement agenda in terms of ensuring a competitive sourcing strategy and the implementation of this.
• Assist with periodic stock takes and stock audits and with stock take reconciliation.
• Complete the cross border paperwork and ensure that all documents are filed.
• Ensure that quotations, invoices, order documentation and proof of payments are timeously sent and received by Finance and the suppliers respectively, and file all relevant correspondence.
• Cross-check all deliveries to confirm all ordered goods were off-loaded and variances appropriately handled.
• Update PO feedback sheet for the Finance Department.
• Update the Soap Production raw materials and packaging materials shortages lists in terms of status of ordering and arrival of goods on a weekly basis, or more frequently should the need arise to enable effective production planning.
• Assist the sales team with information needed for quotes and tenders.
• Issue IBT’s for all goods sent from Windhoek to Swakopmund.
• Responsible for all stationary purchases and control over stationary.

Educational and Experience Requirements:
• Grade 12 Certificate
• 3 years appropriate experience in procurement and stock control
• Experience operating within a fast-paced, highly pressurised production environment

Knowledge, Skills & Attributes:
• Good computer skills (MS Office and Pastel), with advanced Excel knowledge in terms of use of formulas
• Excellent planning and organising skills
• Strong negotiating skills
• Deadline focused with the ability to work under pressure and make quick contingency plans should needs arise
• Strong analytical and problem solving skills and the ability to establish logical practical solutions
• Excellent numeric skills with a high attention to detail
• Excellent interpersonal and communication skills
